Task/Problem Overview
In this document we will be covering what to do if you or another user accidentally cancels an order in the system and the quickest way to re-make that same order.
Canceling an Order
-
Canceling an order is not something that really happens truly accidentally without first pressing specific buttons within the order itself. The only way to cancel a converted order is by going into the History tab of that order and hitting the button “Cancel Order”.
-
If this button is clicked the system will then prompt you to confirm if you’re actually wanting to cancel the order.
-
Once YES is clicked on then the order is truly canceled and you’ll notice a red line at the top saying order canceled.
What to do after you canceled your order
-
Now that you’ve canceled your order or someone else has you now realize you shouldn’t have gone that far and it didn’t actually need to be canceled.
-
The fastest way to then restore the order would be to hit the “SAVE AS” button on the left hand side bar while you have the canceled order open.
-
Hitting the save as button will then open up a new order for you and ask you to confirm the order name. It will copy the previous order’s order name so you may want to update it for the current date if days pass.
-
Once you hit SAVE your order will be re-created as a quote and it will then prompt to ask if you want to refresh the price and availability of the items that were on the order since you last created it.
- If you want it to keep the same pricing as before then hit NO here so nothing changes.
-
Now you’re order is re-created and you’ll have to convert it again when ready.
When you can and can’t cancel an order
-
You can cancel an order anytime before it’s been invoiced. Once an order has been invoiced it cannot be canceled until the invoice is first reversed. This includes if items have been marked shipped, but not yet invoiced you can still cancel the order and the shipment will be canceled as well.
-
If there’s any payments on the order, before invoicing, when you hit the cancel order button and confirm it will then pop up the refund money screen to refund the customer.
